This guide explains your free options, where they run out, and how to tell when a paid plan pays for itself.
What free POS system software usually includes
Most free POS software covers the basics of a sale: a product or menu list, a checkout screen, receipts and simple sales reports. Many also track stock levels.
What varies is everything around the sale. Payment acceptance, hardware, delivery orders, QR ordering, loyalty and support are where free and paid systems split. If you’re new to how these parts fit together, start with our guide to what good POS system software should include.
Your free POS options in Malaysia
MyInvois e-POS from LHDN
MyInvois e-POS is a free POS platform provided by HASiL for micro, small and medium enterprises. It covers sales management, accounting, inventory and financial reporting. It also lets you issue an e-Invoice during the sale, or later if the buyer asks for one.
It runs on a smartphone or tablet with internet access. Eligibility has reportedly been widened to businesses with annual sales of up to RM5 million, so check the current criteria on the HASiL site. Using it is optional, not mandatory.
MyInvois e-POS suits a business whose main worry is e-Invoice compliance. It is not built around F&B workflows like table QR ordering or GrabFood orders. For more on compliance, see what Malaysian SMEs need from a POS for e-Invoice.
Free-tier POS apps
Some POS apps offer a free core app and charge for add-ons such as advanced inventory, extra staff accounts or integrations. They can help you try out an idea, but a stall or pop-up usually still needs a separate way to take and confirm cashless payments. Check which features sit behind the paywall before you load your full product list.
Free trials of paid POS system software
A free trial gives you the full paid product for a limited time. EPOS360, for example, includes a 30-day free trial of the Grow plan from sign-up. A trial is the best way to test a system during a real lunch rush rather than a quiet demo.
Where free POS system software runs out
| What you need | Check this with a free option | Typical paid all-in-one |
| Card, DuitNow QR and e-wallet payments | Often handled by a separate terminal or app | Payments on the same system, with instant confirmation |
| GrabFood, Foodpanda, ShopeeFood orders | Usually not included | Delivery orders on one screen |
| Table QR ordering | Rarely included | Built in for dine-in |
| Loyalty and repeat-customer offers | Paid add-on or missing | Points earned automatically at checkout |
| Help during a rush | Email or community support | Live support, sometimes 24/7 |
| Several outlets | Often limited | Multi-location reporting |
The more of these you need, the more a free setup becomes several free tools stitched together. That’s where time goes: reconciling payments from one app with sales in another.
The real cost of “free”
The software price is only one line on the bill. Three other costs matter more over a year.
-
Payment processing fees. Every card or e-wallet payment carries a rate. On EPOS360, DuitNow QR payments are free and card payments start from 1.3%, per the pricing page. Compare rates, not just subscriptions.
-
Hardware. A free app still needs a phone, tablet, printer or payment terminal. Our POS machine price guide lists typical costs.
-
Your time. Re-typing figures between systems, chasing delivery tablets and checking payment screenshots all cost hours.
When free is enough, and when to pay
For a pasar malam stall, bazaar or one-person kiosk, the real question isn’t free vs paid. It’s whether your setup gets you paid fast when the queue builds up.
-
A free app records the sale, not the payment. You still need a way to take DuitNow QR, e-wallets and cards, and to confirm each one instantly. Checking customers’ phone screens during a buka puasa rush is where time and money slip away.
-
EPOS360 is built for exactly this kind of business. The Grow plan works out to about RM1 a day and includes a free Soundbox that announces every DuitNow QR payment out loud. DuitNow QR payments carry no fees and settle to your TNG eWallet instantly. EPOS360 BlueTap has already been rolled out to 100 Ramadan bazaar vendors in Lembah Pantai.
-
It grows with you. When you add delivery orders, table QR ordering or a loyalty scheme, they run in the same app, so you never have to switch systems.
-
Free tools still have a place. If you mainly need e-Invoice records and take few cashless payments, MyInvois e-POS may be enough for now.
