What Is a POS System? A Guide for Malaysian Businesses

A POS system is the hardware and software a business uses to take orders, accept payments and record every sale. That’s the short answer. The longer answer is that a modern POS system has quietly become the control centre of most small businesses in Malaysia, handling stock, staff, delivery orders, customer data and tax records from one place. This guide explains what a point of sale system actually does, how it works, what it costs in Malaysia, and how to tell whether yours is holding your business back.

What is a POS system?

POS stands for point of sale: the moment and place a customer pays you. A POS system is everything that makes that moment work, plus everything that records it afterwards.

In practice, a POS system does three jobs:

  1. Captures the order: at the counter, from a table QR code, from an online store or from a delivery app.
  2. Takes the payment: cash, cards, DuitNow QR, e-wallets like Touch ‘n Go.
  3. Records the data: what sold, when, to whom, by which staff member, and how much tax was charged.

You’ll also hear “point of sale system”, “POS software” and “POS machine” used for the same thing. There are small differences, which we unpack in Point of Sale System, POS System or POS Software: Any Difference?

How does a POS system work?

Here’s what happens in a typical cafe order:

  1. A customer scans the QR code on their table and orders a nasi lemak and teh tarik.
  2. The order goes straight to the POS, which prints a kitchen ticket or shows it on a kitchen display.
  3. The customer pays by DuitNow QR. The POS confirms the payment instantly.
  4. The sale is recorded against the menu item, the table, the time and the payment method.
  5. At the end of the day, the owner checks sales, best-sellers and peak hours on their phone.

No one re-types anything. That’s the core value of a POS system: every step feeds the next automatically.

The parts of a POS system

POS software

The software is where your menu or product list, prices, taxes, discounts, staff accounts and reports live. Most POS software in Malaysia today is cloud-based, meaning the data is stored online and you can access it from anywhere. We compare the options in online POS system vs traditional POS.

POS hardware

Hardware is the physical kit at the counter: a terminal or tablet, a receipt printer, a card reader, a cash drawer and sometimes a barcode scanner or kitchen display. Some newer devices combine several of these in one. See our POS machine price guide for typical costs.

Payment processing

This is the service that moves money from your customer’s card or e-wallet into your account. An all-in-one payment setup means one device and one provider handle every payment type, instead of a separate bank terminal next to your POS.

What features should a POS system have?

The basics are the same everywhere: sales, payments, receipts and reports. What separates a useful POS system from a glorified cash register is everything around those basics:

  • Inventory tracking that deducts stock as items sell
  • Order channels beyond the counter: QR ordering, online store, delivery apps
  • Customer data and loyalty so you can bring people back
  • Staff management with roles and shift reports
  • Tax and e-Invoice support for SST and LHDN requirements
  • Reports you can act on, ideally with trends and suggestions, not just totals

Why Malaysian businesses need a POS system in 2026

Customers expect cashless. DuitNow QR and e-wallets are now normal even at hawker stalls. A POS that confirms each payment instantly protects you from fake payment screenshots.

Delivery is a big share of sales. Many F&B outlets run GrabFood, Foodpanda and ShopeeFood at the same time. Without integration, that’s three tablets and a lot of re-typing.

e-Invoicing is here. LHDN’s e-Invoice rollout means sales records need to be clean and digital. A POS system makes that far less painful.

Margins are tight. Knowing your real best-sellers, slow hours and wastage is the difference between guessing and managing.

How much does a POS system cost in Malaysia?

Costs fall into three buckets:

Cost Typical range in Malaysia Notes
Software subscription Under RM50 to several hundred RM a month Check which features are add-ons
Hardware A few hundred RM (payment device) to several thousand RM (full counter setup) One-off, sometimes bundled with a plan
Payment processing A small percentage per card or e-wallet transaction Compare rates across providers

All-in-one plans can work out cheaper because loyalty, QR ordering and delivery integration are included. EPOS360, for example, starts from RM0.86 a day with those features built in.

Signs your current POS system is holding you back

  • You re-enter delivery orders by hand
  • You can’t check today’s sales without being at the shop
  • Your card terminal and POS are separate and don’t reconcile
  • Loyalty is still a paper stamp card
  • Month-end reporting takes hours in a spreadsheet

If two or more of these sound familiar, it’s worth comparing options. Our roundup of the best POS systems in Malaysia is a good place to start.

Frequently asked questions

What does POS stand for? POS stands for point of sale, the place and moment a customer completes a purchase.

What is the difference between a POS system and a cash register? A cash register records sales and stores cash. A POS system also manages inventory, customers, staff, online orders and reports.

Can a small business use a POS system? Yes. Many POS systems now run on a single phone, tablet or compact terminal, so even a one-person stall can use one.

Is a POS system the same as a payment terminal? No. A payment terminal only accepts payments. A POS system records the full sale. Some devices combine both.
