What actually separates them shows up later, during a genuinely busy service, a menu change under pressure, or a month-end reconciliation, and by then the system’s already been chosen. Working through the right questions before signing up avoids discovering the gap after the contract’s already in place.

Start With How Orders Actually Move Through the Business

Before comparing features, it helps to map out exactly how an order currently moves, dine-in, takeaway, delivery platforms, and where the friction currently is. A system chosen without this step often gets picked for its interface rather than for whether it actually solves the specific bottleneck slowing the business down, whether that’s kitchen ticket accuracy, order consolidation across delivery platforms, or reporting that doesn’t reflect real dish-level margins.

Checking whether the floor plan and table management genuinely reflects the physical space, rather than forcing the space to be described in a way the software expects, avoids a persistent daily annoyance that a demo won’t surface.

Reporting Depth Beyond Daily Totals

A daily sales total is the easiest number any system can show. What varies is whether the system can break performance down by dish, by time of day, by server, or by course, detail that actually informs decisions like menu changes or staffing adjustments. Asking to see an actual sample report during evaluation, not just being told reporting is “comprehensive,” is worth the extra step.

Integration With Payments, Delivery and Loyalty

Restaurant point of sale systems increasingly need to connect to several other tools, payment terminals, delivery platform integrations, a loyalty programme, an online ordering page. A system requiring separate logins and manual reconciliation across each of these creates ongoing administrative work that compounds over time, while one built to integrate these natively removes that overhead from day one.

Support and Onboarding, Not Just the Software Itself

The software itself is only part of what’s being bought. How a provider handles onboarding, staff training, and support when something breaks during actual service matters just as much, particularly for a business without dedicated technical staff on hand. Asking specifically how support is reached during a live service issue, not a general enquiry, gives a clearer sense of what happens when something actually goes wrong.

Making the Final Call

No restaurant point of sale system will be perfect across every category, and the right choice usually comes down to which trade-offs match the business’s actual priorities, kitchen accuracy over reporting depth, or integration breadth over a lower monthly cost. Running a genuine trial with real menu items and a realistic order volume, rather than relying on a demo environment, is the single most reliable way to confirm a system holds up before committing to it.
